At Beta Hub, we recognize the critical importance of protecting personal and business data. We collect information necessary to establish, support, and maintain your CRM workspace. The categories of information we collect include:

  • User Account Profile: Name, work email address, telephone numbers, system role configurations, and associated franchise or business branch coordinates.
  • SaaS Database Records (Licensee Data): End-customer details, contact lists, physical service addresses, HVAC system specifications, service logs, billing statements, and technician assignments uploaded by you.
  • Communication Metadata: Synchronized email histories, call logs, SMS transcript records, and smart messaging inputs processed through integrated APIs (including Twilio, Zoho CRM, and calendar applications).
  • Technical Analytics: Device IP addresses, operating systems, browser specifications, activity sessions, and diagnostic crash logs.

Purposes of Processing

We collect and process your personal and customer data strictly in accordance with this Privacy Policy and relevant legal frameworks. Processing purposes include:

  • Executing primary CRM utilities, including job dispatch, technician scheduling routing, work orders, and invoice compilation.
  • Powering AI-driven scoring modules to evaluate lead quality and prioritize urgent dispatch requests for HVAC operations.
  • Facilitating integrated outbound communications (calls, SMS, and templates) via authorized APIs.
  • Improving overall Platform performance, diagnosing technical errors, and preventing fraudulent or unauthorized activities.

Subprocessors & Disclosure

We covenant never to rent, sell, or commercialize your personal or customer data to marketing corporations. Data is disclosed only to secure subprocessors necessary to deliver the SaaS utilities:

  • Cloud Service Providers: Secure hosting environments located within Australia.
  • Telephony & SMS Partners: Integrators like Twilio Inc. to handle automated dispatch routing and inbound/outbound communication streams.
  • Legal & Regulatory Authorities: We disclose data only when legally compelled under Australian state or federal laws, or to defend our SaaS agreement covenants.

Infrastructure & Residency

To ensure maximum security and privacy alignment:

  • All database transmissions are executed over secure HTTPS connections using industry-standard 256-bit SSL encryption.
  • All primary database backups, configuration files, and customer databases are hosted within secure Australian cloud instances to conform to local data residency standards.
  • Administrative access controls are restricted, ensuring Beta Hub technicians only inspect workspace data for technical support requests explicitly authorized by the Licensee.

Cookies & Analytics

The Platform uses temporary and persistent browser cookies to maintain active login sessions, log navigation metrics, and store persistent workspace preference configurations. You can manage or disable cookie settings via your browser console; however, please note that disabling cookies may result in reduced performance or system accessibility issues.

Rights under the Privacy Act

In compliance with the Australian Privacy Act 1988 (Cth), you are entitled to access the personal information we maintain regarding your account, request corrections to any invalid entries, or require the deletion of your account records.
