Refund Policy

General Overview

At Beta Hub, we strive to deliver an exceptional CRM experience for Australian service businesses. Since our platform is offered on a Software-as-a-Service (SaaS) basis, we maintain clear guidelines regarding subscription charges, usage consumption, and refund request circumstances to ensure transparency and fairness across all accounts.

By subscribing to Beta Hub or purchasing prepaid system usage, you acknowledge and agree to the terms of this Refund Policy, which works in conjunction with our standard Terms of Service and Privacy Policy.

Subscription Refunds

Monthly & Annual Billing: All regular subscriptions (monthly or annual plans) are billed automatically in advance. To prevent future automated billing, you may cancel your subscription at any time via your account settings.

  • Cancellation Timing: Cancellation takes effect at the conclusion of your current active billing cycle. Your team will retain full platform access until that date.
  • Standard Non-Refundability: Subscription fees are non-refundable for partial months of service, unused seat licenses, or periods of inactivity. We do not provide prorated refunds for mid-cycle cancellations.
  • Exceptions: We may review and approve refund requests in rare cases involving verified technical failures on our side that rendered the service completely inaccessible for over 72 consecutive hours, or if otherwise required by applicable legislation.

Usage-Based Fees

Our platform provides direct integration with third-party networks for outbound communication and utility queries (e.g., Twilio telephony, interactive SMS routing, automated voice campaigns, and Google Maps API requests).

  • Non-Refundable Consumption: Any credits consumed for SMS transmission, active calls, API query lookups, or AI-generated workspace summaries are immediately non-refundable, as these costs are processed directly with third-party carriers in real-time.
  • Prepaid Credit Expiry: Prepaid communication credit balances loaded into your workspace billing system do not expire while your subscription is active, but are non-refundable upon voluntary account closure.

Setup & Professional Services

One-time setup fees, database migration services, custom integration development, and tailored employee onboarding packages are non-refundable once the delivery team has commenced work on your project. If you wish to cancel a booked professional services session, you must notify us at least 48 hours in advance to receive a scheduling credit.

Australian Consumer Law

Nothing in this Refund Policy is intended to exclude, restrict, or modify any non-excludable consumer guarantees or rights you are entitled to under the Australian Consumer Law (ACL) set out in Schedule 2 of the Competition and Consumer Act 2010 (Cth).

If our services fail to meet an ACL consumer guarantee (such as failing to supply services with due care and skill, or within a reasonable time), you may be entitled to a remedy including a refund, compensation, or plan repair, depending on whether the failure is classified as major or minor.

  • Your full name, registered email address, and company name.
  • The details of the specific invoice or transaction in question.
  • A detailed description of the reason you are requesting a refund, including any relevant documentation or diagnostic errors.
